Hi everyone, Tawhed here - and in this video, I want to share with you one of the biggest features we've been working on this year: the AI Booking Agent.
Whether you're looking to fill up your sales team's calendars with qualified meetings or you just don't have the time to handle bookings yourself, this video is for you.
In under 5 minutes, I'll show you how you can create your own AI booking agent that can start conversations, answer questions, and lock in appointments - all on autopilot.
So, let's take a look.
Let’s say you run a law firm, and you’ve got leads coming in - maybe from Facebook ads - and you want to book them for a consultation.
To get started, go to the AI Agent section, click “New Agent,” and select the “Book Appointments” template.
Now, here's the fun part: you've got everything you need to make this agent feel like part of your team.
You can add documents and enable the knowledge base so your agent knows how to answer common questions - like what services you offer, where you're located, pricing, and so on.
You also get to decide how the agent starts the conversation. It can either pick up where the last one left off, or you can set the first message yourself.
In this case, I’ll go with the static option.
From here, I’m going to select the meeting link I want to use. Right now, we support Calendly, and support for HubSpot is coming soon.
If you don't have Calendly connected, do that first. Once connected, your booking links will automatically appear for you to pick from.
One of the coolest things about this agent is how you can choose how it handles bookings. You can either have the agent text back and forth with the lead to find a time that works - or just send the booking link and let the customer choose a time themselves.
And of course, in addition to booking, the agent can collect information from your leads.
Calendly’s required fields show up automatically, but you can also add your own questions - like business name, budget, or anything else that would be helpful to know before the meeting.
One of the great features of this data collection module is that you can optimize the agent to skip questions for data you already have - making conversations shorter and saving you credits.
Once you’ve specified the data you want to collect, you can add a success and fallback action the agent will take, depending on whether it was able to book the customer for the consultation.
I’m just going to add a simple contact note, but you can also add a tag, which could trigger another agent or campaign if you want to get fancy.
Before activating your agent, you can test it inside the builder until you’re happy with the results.
So, let’s do a quick test.
The agent is going to send me the first message I set up, asking if I want to book a consultation.
I’m going to reply with “Yes.”
Then, it moves on to data collection - starting with the name and email address, which are required by Calendly, plus the additional question about services.
Since I chose conversational booking, the agent is going to check availability and suggest a few options for me to pick from.
I’m going to say “Tomorrow at 9:00 a.m.”
Okay - the agent just checked, and that time slot is taken, so it’s suggesting others.
I’ll go with 8:30.
Now, here’s the cool part: the agent gives the customer a link to confirm - but everything, from name and email to the date and time, is pre-populated.
All the customer has to do is click “Schedule Event.”
When they do, you get an instant confirmation in Salesmsg.
But let’s say, for whatever reason, the customer stops responding halfway through the conversation. That’s where the auto follow-up feature comes in.
You can set a follow - up window and frequency, and the agent will automatically follow up on your behalf to remind the customer to complete their booking.
While you’re at it, in the Advanced Settings section, you can further personalize your agent by setting a tone of voice and message length.
For even more customization, you can jump to the Prompts section and really make this agent your own.
That’s pretty much it for the AI Booking Agent.
